JOB SUMMARY

The Officer in the Student Services Department is responsible for providing support to students, faculty, and staff by managing student records, coordinating events, conducting student counseling, and maintaining administrative functions. The role also involves organizing orientation programs, handling logistics, and ensuring a supportive and engaging environment for students.

 

KEY RESPONSIBILITIES:

 

1. Student Support and Counseling

  • Provide counseling to students on various issues, including academic, personal, and well-being concerns.
  • Coordinate and communicate with students and guardians regarding academic progress, attendance, and other student-related matters.
  • Offer support and information on administrative requirements, program details, and other inquiries via phone, email, or in person.

 

2. Classroom and Event Management

  • Oversee classroom arrangements, ensuring facilities are set up and maintained for classes and events.
  • Plan and conduct student and faculty orientations and induction programs.
  • Assist in organizing and coordinating events, including guest lectures, international mobility programs, graduation ceremonies, and alumni events.
  • Support extracurricular activities such as sports, social events, student exchange visits, and workshops.
     

3. Administrative Duties

  • Manage and update student records in Orbund, including attendance, payment records, and other documentation.
  • Prepare and distribute official letters, ID cards, parking passes, and other student documents as required.
  • Coordinate faculty and student log sheets for extra classes and maintain classroom schedules.
  • Handle student assignment and report collection, and ensure proper filing and record-keeping.

 

4. Communication and Liaison

  • Handle incoming calls, transfer them to appropriate departments, and address queries effectively.
  • Collect feedback from students on various activities and events to improve services.
  • Facilitate meetings with program leaders, guardians, and other stakeholders on matters related to student services.
  • Participate in regular briefings and Student Services Department meetings to discuss updates and action plans.

 

5. Monitoring and Reporting

  • Chase up on student attendance, ensuring timely communication with guardians about low attendance reports.
  • Prepare reports using tools like SurveyMonkey to gather insights on student engagement and program satisfaction.
  • Perform data entry and updates on platforms like Monday.com for tracking student and departmental activities.

 

6. Logistics and IT Support

  • Assist in managing logistics, including classroom resources, parking arrangements, and other student-related facilities.
  • Provide basic IT support for students and faculty, and assist with resolving technical issues.
  • Ensure smooth execution of international mobility programs by coordinating travel and logistics.

 

7. General Responsibilities

  • Entertain and assist guests visiting the campus.
  • Maintain and update notice boards with relevant student information.
  • Support the admissions department and other administrative functions as needed.
  • Display flexibility in supporting different departments, such as accounts, library, and admissions, as required.
